An extraction pipeline that produces plausible but incorrect text can contaminate retrieval and downstream tools without producing an obvious API error.

Inventory source data and lawful uses

Separate knowledge articles, operational database rows, images, audio, scans and user-uploaded attachments. For every class, record owner, permitted purpose, sensitivity, retention and authoritative change feed. A support agent may use published return policies but cannot assume it may inspect all customer calls merely because both sets live in S3. Decide what content must be excluded before extraction and what user identity will be used when that extracted content later becomes retrievable. A central ingestion role must not silently broaden end-user access.

Validate inputs before they reach a parser

Check declared file type against actual content, page or media length, encoding, checksum, malware screening, quotas and expected language. Malformed archives, corrupted PDFs and misleading MIME types can waste compute or become attack surfaces. Quarantine suspicious inputs, record a traceable rejection reason and prevent automatic resubmission loops. A document that cannot be parsed should not be represented in the index as a successfully imported source. Track validation failures separately from model refusals so the right operator can correct them.

Design extraction by modality

Text PDFs, scanned pages, audio recordings and tables require different normalization. Scanned documents may need OCR and confidence checks; voice data may need speech transcription, speaker context and time markers; forms may require field-level extraction with explicit confidence limits. AWS services such as Amazon Textract and Amazon Transcribe can support some of those steps, but model choice must reflect language, document type and intended accuracy. Do not assume a visual extraction result is a legally reliable original.

Preserve document structure and provenance

Capture document title, stable source ID, owner, effective date, section boundaries, page locations, version and permission metadata alongside extracted text. Tables should retain row/column relationships and units; flattening a multi-column price schedule into one string can invert its meaning. If a policy is superseded, delete or invalidate affected chunks before they appear in responses. A retrieval citation must identify the actual current source, not a stale staging key or vector ID with no human-readable provenance.

Build repeatable quality checks

Use schema checks, null or duplicate detection, reference-data checks and field-specific ranges before generating embeddings. A product catalog with missing currency, an invoice amount outside expected bounds or a source date in an impossible order should be routed to an exception queue. AWS Glue Data Quality or custom checks can record measurable pass/fail outcomes; the AIP-C01 data-management skills explicitly include validation and multimodal processing. Quality gates need owners, thresholds and recovery actions, not only dashboards.

Normalize records without inventing missing values

Convert timestamps, whitespace, character encodings and document identifiers into a consistent representation, preserving originals when required for audit. A model may help classify topics or extract named entities but should not fabricate missing order IDs or contract dates. Distinguish a system-generated inference from a verified field; keep confidence and source links. Do not rely on a prompt instruction to enforce critical formats: use deterministic schema validation and request correction when an extraction cannot satisfy it.

Manage S3, catalog and workflow stages

A common architecture stages uploads in Amazon S3, validates them with a workflow, invokes modality-specific extraction, stores normalized output with metadata and then ingests approved records to a knowledge base or feature store. Use event triggers, SQS or Step Functions only where their semantics and failure handling match the workload. Record the source and processing version in each event. Repeated events should not generate duplicate documents or unnecessary embedding charges; use idempotent keys and deduplication rules.

Secure transformed data and derived artifacts

Classify extracted text and embeddings as potentially sensitive, even if the original file was a scanned image or voice recording. Apply IAM scopes and encryption to staging, temporary processing, data catalogs, generated captions and failure logs. Minimize raw content in routine traces. A deletion request may need to remove the source object, parsed copies, derived chunks, vector records and caches. The privacy controls must cover every copy, not only the model request.

Test freshness, recovery and silent degradation

Simulate a corrected policy file, a deleted customer attachment, a duplicate event and a failed parser job. Confirm that the index updates the correct version, does not retain revoked chunks and exposes ingestion lag. Measure time from source update to searchable evidence, rejection rate by file type and the percentage of retrievable records with valid owner metadata. Run queries against known-current and superseded versions. A fast but stale search result is a data quality failure, not a model success.

Worked exercise: mixed-format policy intake

Imagine support policies arrive as scanned PDFs, voice notes and structured tables. An approved pipeline validates sources, captures document owners and effective dates, extracts text with modality-aware tools and sends low-confidence fields for review. It stores immutable source references and only makes vetted content searchable. A test user asks a question involving a recently superseded fee: the correct result must cite the new source or abstain. If the older fee appears, inspect extraction, ingestion and retrieval versions before changing the model prompt.

Acceptance tests for a source-processing pipeline

Write a source-to-index contract for one scanned document: file hash, uploader, source owner, legal use, extraction type, detected language, parser version, confidence and effective date. The contract should define which fields are mandatory and what triggers human review. An OCR system can read a digit incorrectly and still output syntactically valid text, so compare important amounts and identifiers with authoritative records. Send low-confidence exceptions to a named queue rather than fabricating values to satisfy a schema.

Use a synthetic table with mixed units and an intentionally misaligned row as a negative test. Verify that the normalized output preserves product, unit, currency and amount relationships. If the parser instead flattens the table into misleading prose, the downstream model should not be expected to correct it. This failure belongs to extraction or validation. Maintain an original-to-normalized mapping so an operator can trace an answer back to the exact page, cell or recording segment that produced the disputed fact.

Finally, delete or supersede an example source while the knowledge base is serving traffic. Observe the ingestion event, derived chunk replacement, metadata update, cache invalidation and the next authorized query. A source that no longer exists must not remain indefinitely available through vectors or application-level caches. Track time to consistent deletion alongside time to index new information. When a job fails, preserve enough processing evidence to retry the correct stage without reintroducing deleted content or building duplicate index records.

The value of an ingestion pipeline is a defensible chain from permitted source to clean, current and traceable model input. Good prompts cannot compensate for missing permissions, corrupted tabular structure, stale indexes or uncontrolled derivative copies.

Foundation models are only as reliable as the documents, events, images and records given to them.
